General Job Overview:
We are seeking a dedicated and detail-oriented Hotel Relations Admin to join our team. In this role, you will play a critical part in ensuring the success of our guest travels by managing hotel reservations, maintaining strong relationships with hotels and ensuring that our clients’ needs are met with exceptional service. The ideal candidate for this position will be a skilled multi-tasker with a keen eye for detail and proficiency in Excel.
Duties and Responsibilities:
- Hotel Relationship Management: Establish and nurture strong relationships with hotels and accommodation providers. Ensure that our hotel partners have the best experience with Team Travel Source and have all the tools they need to ensure a successful stay for our guests.
- Reservation Management: Coordinate and manage hotel reservations for guest travel, ensuring accuracy, timeliness and adherence to specific requirements.
- Customer Experience Support: Serve as a primary point of contact for the Customer Experience team, addressing their questions, concerns and special requests related to hotel accommodations.
- Data Management: Maintain organized and up-to-date records of hotel contracts, reservations and guest details. Utilize Excel and other tools to manage and analyze data efficiently, ensuring confirmation numbers, stay dates and other information is accurate.
- Multi-Tasking: Effectively manage multiple hotel contracts and reservations simultaneously while ensuring each client’s unique needs are met.
- Problem Resolution: Address and resolve any issues or discrepancies related to hotel reservations and accommodations promptly and professionally.
- Communication: Keep clients, team members and hotel partners informed of updates, changes and any relevant information.
- Quality Assurance: Ensure that all hotel reservations meet the highest standards of quality and are in compliance with our guests’ expectations.
- Strong proficiency in Microsoft Excel and other data management tools.

Abilities and Experiences:
- Hotel, travel or sports management industry experience preferred.
- Experience with Microsoft Office (Excel, Mail Merge, etc.) is a must.
- Salary and benefits commensurate to education and experience.
- This job may require a non-compete agreement to be signed as a condition of employment.
- Experience with macOS preferred.
