REPORTS TO: Executive Administrator

FULL TIME: 40 hours/week

LOCATION: Louisville, KY

SALARY: $32,000 – $35,000 annual salary; based on experience

General Job Overview:

The primary job of the Office Manager/HR Admin is to handle administrative tasks as they relate to a smooth operation for all TTS offices. The position will require 40 hours of in-office work.

Duties and Responsibilities:

• Perform HR administrative tasks such as enrolling staff for health benefits, tracking PTO/time-off, enrolling staff retirement plans, assist with open enrollments, note taking for company meetings, etc.
• Monitor office and kitchen supplies; order (within budget) as needed
• Order and build office furniture as needed (desks, chairs, etc.)
• Clean/wipe down all kitchens 1x per week (counters, tables, fridge clean out)
• Clean/wipe down conference rooms 1x per week
• Ensure all main areas/meeting rooms are presentable and ready for scheduled meetings
• Plan, organize and manage (or assist) in company appreciation initiatives as directed (i.e., office quarterly outings, office parties, happy hours, etc.)
• Distribute or mail employee gear as directed
• Welcome guests to TTS office and assist in planning for their arrival/stay including transportation, hotel & meals
• Act as the point person for office-related needs for all employees including maintenance needs (not IT)
• Act as the point person and lead for office expansion, office moves, layout planning and construction needs with the building manager with direction from management
• Schedule employee KUDOS email 1x per week
• Track holiday gifts & write and/or assign thank you notes to appropriate staff member
• Run errands as needed supporting execs, HR, and marketing (shipments to UPS, make copies of office keys, pick up lunch for exec meetings, etc.)
• Assist with Professional Development, Charity and Social Committees as needed
• Perform receptionist duties (greet visitors, customers, and candidates for interviews; accept food deliveries to front desk and distribute to staff members)
• Assist management when office communication is needed (ie snow days, holidays, etc.)
• Communicate with staff on office procedures, protocols, etc.
• Assist with onboarding of new staff (office space, IT needs, etc.)
• Complete special projects as assigned
• Work directly with management for special projects and discussion of needs

Required Skills/Traits:

• Strength in multi-tasking – Must be able to handle multiple goals, projects, and tasks at once
• Reliable and deadline driven – Must meet all deadlines and goals
• Must be a good communicator
• Trustworthy – we must be able to trust this person with confidential information
• Willing and able to take on projects as well as complete routine tasks for management
• Ability to balance individual and team responsibilities; must be willing to show openness and acceptance to others, welcome feedback and support the company’s efforts to succeed as a whole


Abilities and Experiences:

• Ability to use a computer (Apple, Microsoft Office, Internet, email, etc.)
• Compensation depends on availability and experience
• Must have a reliable car and driver’s license
• Professional/office experience
